Support event-operating efficiencies by contributing to various event-planning tasks

Job Title: Coordinator, Events
Department: Marketing
Reports to: Director, Events
Basic Function: Support event-operating efficiencies by contributing to various event-planning tasks associated with an ever-growing events calendar.

Essential Functions and Responsibilities include, but are not limited to, the following:

  • Work directly with the Director to support all aspects of event planning to include, but not limited to, the following events: IIHF World Championships, USA Hockey Annual Congress and Winter Meetings, Rivalry Series, BioSteel All-American Game, Patty Kazmaier Memorial Award Ceremony, and events in partnership with the United States Olympic and Paralympic Committee
  • Assist in the development and creation of wide-ranging event documents including RFP bid packages, event pacing reports and event information booklets
  • Manage the invitation, registration and flight booking process for volunteers for USA Hockey Annual Congress and Winter Meetings
  • Facilitate and maintain relationships with current and future host sites, vendors, and event partners
  • Coordinate meeting schedules with affiliated partners, host groups and organizing committees
  • Assist with servicing of event sponsor fulfillment, including collection of pertinent logos and placing orders for event collateral, signage, and protocol
  • Communicate with host sites, hotels and transportation companies and serve as a liaison between these groups and event participants
  • Assist with the creation and distribution of marketing materials to drive participation and revenue for all events
  • Create, organize, and distribute information documents for event attendees and participants
  • Manage the VIK program for select licensees and sponsors
  • Other duties as assigned

Minimum Qualifications and Requirements:

  • 4-year degree in Sports Management, Marketing, Business or related field
  • Experience in assisting the hosting efforts of major sporting event(s)
  • Strong organizational and problem-solving skills with the ability to multi-task and work on multiple events at once
  • Experience handling merchandise/supply orders
  • Excellent writing, communication, and interpersonal skills
  • Willingness to work off-hours, weekends, and holidays
  • Ability and willingness to travel
  • Proficient computer skills

Location: USA Hockey National office, Colorado Springs, CO

Salary: $45,000-$50,000 annually. Benefits include health/dental/vision insurance, vacation/sick time, and 403B matching after six months.
