Introducing the USA Hockey EMS Registration Management Tool (EMS-RMT)

On April 13, 2009, USA Hockey launched its EMS Online Registration Management Tool (EMS-RMT). The EMS-RMT provides local USA Hockey member organizations with a complete online solution that allows them to set up and administrate their local registration electronically, while integrating that information with the USA Hockey national database.

Previously, organizations who wanted to do their registration online had to find some way to "pull down" member information from the USAH database, then compile it in a format to be uploaded to their Cyber Sport software. The EMS-RMT provides this critical middle step. Registrars will now be able, through a USA Hockey website login, to set up their local registration and provide a link that allows their registrants to click and complete their local registration.

The EMS-RMT is the newest component to the USA Hockey EMS (Event Management System). The EMS already provides the ability to set up and administrate Tournaments, Camps, and many other custom events.

How to Get Administrative Access to the EMS-RMT

The EMS-RMT is available to all USA Hockey member organizations, however administrative access will only be granted to registrars, Board members, or individuals designated by the local BOD.

To request and obtain access, you must first set up a User Profile on the USA Hockey website (www.usahockey.com). This can be done by clicking the "Create Profile" link in the upper right corner of the home page and following the steps to completion.

Once you have created your website profile, you will need to send and email to Eddie Olson (eddieo@usahockey.org) in our Internet Communications Department requesting administrative access. In your email, be sure to include:

a. Your username
b. Association information and/or USA Hockey organization code
c. Permission from your local board allowing you to do this

Please note: if you already have access to the EMS, you already automatically have access to the EMS-RMT.

EMS-RMT Frequently Asked Questions 

1. When will the EMS-RMT be available? The EMS-RMT is available now, in plenty of time for registration for the 2009-2010 season.

2. Do I need to buy or install special software? No. The EMS-RMT is a self contained system within the USA Hockey web platform. It is completely administrated through your web browser and can be accessed through any windows-based computer with Internet access.

3. How much does it cost to use? Use of the EMS-RMT is free to USA Hockey member organizations. The only costs to you are the transaction fees charged by PayPal, if you choose to accept credit card payments for your registration. PayPal charges approximately 2.9% plus .30 per transaction. No money goes through USA Hockey--transactions are strictly between your registrant and your PayPal account.

4. If I already have access to the EMS, what else do I need to do? Nothing. Once the EMS-RMT is launched, you automatically have access to it through the normal EMS administrative interface.

5. Does this replace Cyber Sport? No, it supplements Cyber Sport. The EMS-RMT produces a Cyber Sport-compatible file that allows for an easy upload to the Cyber Sport software. You will still operate Cyber Sport as you always have. Please note, USA Hockey Cyber Sport Registration software is still required for all programs.

6. Do we have to use this to continue using Cyber Sport? No. Both Cyber Sport and the EMS-RMT are stand-alone programs and can be used independently.

7. Do we have to use the EMS-RMT for our local registration? No. The EMS-RMT is meant to ease your registrars workload by simplifying the local registration process, however USA Hockey does not require you to use it.

8. I'm not very technical. Will I be able to use this? Absolutely. The EMS-RMT was developed with "low-tech" in mind. We have built all the tech stuff into the program, so all you have to do is enter some basic information and decide what other information you want on your registration form. Once the registration is created, you can simply email the link to your registrants or post it on your website.

9. Why is this tool significant? For the first time, local organizations will be able to log on to the USA Hockey web platform and administrate and process their local registration without the need for additional software, a website, or technical expertise. The EMS Registration Management Tool has been developed with local registrars in mind, by providing a non-technical interface that allows the registrar to enter some basic information and publish a local registration process that not only integrates with USA Hockey’s National database, but also produces a data file that will upload directly to your Cyber Sport registration program, so the registration process can be completed.

10. Do I have to have a USA Hockey website to have access to the EMS? No. USA Hockey offers free websites to its member organizations, and access to the EMS is included with a USA Hockey website, however you don;t have to have a website with us to be able to take advantage of the EMS.

11. How do I test to see if the registration I created actually works? You can use the following test confirmation numbers to do sample registrations. Keep in mind, these numbers correspond to the 2009-10 registration year, they will not work if you set up your registration from a different year.

PayPal Questions

1. What does it cost to use the EMS-RMT? Use of the EMS-RMT is free to USA Hockey member organizations. The only costs to you are the transaction fees charged by PayPal, if you choose to accept credit card payments for your registration. PayPal charges approximately 2.9% plus .30 per transaction. No money goes through USA Hockey--transactions are strictly between your registrant and your PayPal account.

2. Does USA Hockey retain a percentage of the fees collected? No. None of the monies collected through the EMS pass through USA Hockey at all. These transactions are strictly between the registrant’s credit card and your PayPal account.

3. How does the EMS-RMT know to make payment to my specific PayPal account? When you first set up your registration, the payment setup page contains a blank field in which you enter a PayPal code specific to your account. Instructions for obtaining this code are listed on that particular setup page.

4. How are the registration fees collected online and how do they appear in my bank account? When the registrant makes a payment, they are taken from the EMS-RMT to PayPal’s own secure interface, their fees are totaled and they enter their credit card payment and make payment. Once the payment is complete, the registrant is returned to the EMS-RMT interface to complete their registration. The payment then appears in your PayPal account, minus transaction fees, as a positive balance. You then login to your PayPal account, and PayPal offers several options to withdraw the balance to the bank account of record.

5. How do I get a PayPal account? Is this something I can set up in the EMS when I set up my registration? You have to set up your PayPal account separately by going to PayPal.com. The EMS-RMT and PayPal are two entirely different entities and interact only through the access code you enter in your registration.

6. Do I have to take online payments to use the EMS-RMT? No, you can set your registration to take manual payments only, if you so desire. Online payments are just an available option.

7. Does the person registering also have to have a PayPal account to pay? No. You need to have an account to receive payments, but not to pay. However, if the registrant does have a PayPal account, and they have a balance available in their account, they can transfer the appropriate payment directly from account-to-account, without using a credit card.
