Media Contact Information

Team Managers -  feel free to get your own team's highlights in to the webmaster when you need too.   His link is on the webpage at www.rvyha.org, or brewitup@gmail.com, or you can contact the operations director.

Below is the Media contact info that we use for the High School League, but these same contacts can be used for all teams and tournaments.
They will want some info so be prepared!  Team Managers, you can give the info to our President and Media Liasion Karen Irving, or you can call yourselves.  Of course, we want the Association represented in a professional way, that is fair and balanced at all times so be sure to give the info for both teams!

Some channels will only want the scores and not the details.  For the HS games the TV stations tend to show up more on Saturdays and Wednesdays, if they are not covering basketball or something else.  They don't get to all the games due to show times.

=============

Please remember to call each media contact below immediately following the game.  Please, also, program these contact numbers into your  cell phone.

Channel 5, 10 & 12 will only need the final score of the game.   Although,  you would want to let them know if the game was tied and went to sudden death shootout.  It's alright to leave a message if no one answers.
Please have a copy of the scoresheet in front of you when calling the  Medford Mail Tribune as it will be needed.   The following is an example  of details they will ask for:
      Who was Home/Visitor
       Score by periods
Each Goal & Assist for that Goal by period (spell out first  and  last name)
ie #5, Lane Littlefield, assisted by #26, Kevin Weber
Also, if any player who scored 3 times received a 'Hat Trick' or  any player who had 3 assists received a 'Play Maker'.
     Goalie #, name (spell again)
     Total Shots on Goal/Total Saves

THANK YOU ALL AND GOOD LUCK THIS SEASON TO ALL TEAMS!

RVYHA HS HOME TEAM RESPONSIBILITIES

Home team needs to provide people to fill these positions.  Training assistance can be obtained from other experienced folks upon request:

Time Clock Keeper – Provide a trained time clock keeper.  They can get practice during practices, or other training opportunities.

Score sheet:  Each team manager is to fill in their team roster either by hand or stickers (stickers must be placed on each page, total of four) and their coaches’ names (up to 4), & CEP#, and info.  Head Coach signs the score sheet before the game.

Teams must also indicate their Capt (1) and Asst Capts (2) on the score sheet with a C or A next to their name, and designate shoot out players 1-3 (also next to names of players).   This should be done prior to the start of the game.  Coaches will need to tell the team manager.    Head Coach signs before the game, and Referees are to sign AFTER the game.

After game:

Copies:  White copy should be shared with Media Liaison or Operations Director (Abbie Jossie).  The local newspaper and TV sports stations want to hear about High School events only.  Team Managers can call in the scores/game summary to the media, and then give it to Ops Director, who needs it for stats.  If the Ops Director is not there, put the white copy in the SCORESHEETS folder in the RVYHA cabinet in the lobby.  The pink copy goes to home team, yellow to visitor, and Goldenrod goes to the Head Ref.  The Ref fills out the check request form, returns both to the Team Manager, who then puts both of those in the REF PAYMENTS envelope in the cabinet in lobby.

Treasurer will pick up the Check request forms for payment to the Refs.  Treasurer is Terise Paulsen.  If there is a Match Penalty, the Hockey Director and Coach in Chief should be notified immediately.  The ref will keep his copy for a report, so verify the Check Request Form by signing it and go ahead and put in the envelope without the score sheet.

Score Keeper:  Keeps accurate shots on goal, saves, goals, penalties, and keeps penalty box keeper up to date for time that player can return to the ice – for both teams!

Penalty Box:  Team Managers line up a penalty box attendant for their team, but the Home Team needs to make sure they are occupied before the start of the game.  Scorekeeper can call on the PA for an attendant to get a volunteer if no one is there.

K-Falls/Eugene Away Games:  They will provide all the same at their home games.  Make sure you have someone line up to sit in the Penalty box there.

Game pucks:  Home team manager gets 3 game pucks from the cabinet before the game, and makes sure they are in the bucket icing up (get snow from Zamboni room) before the game.   These game pucks are for games only, but the coaches may elect to give one to a player during the game for things like:  1st goal in HS career, Hat trick, shutout, MVP.   Usually one puck will get lost over the nets in a game.

Announcer:   Each Home Team must provide a game announcer who can also do the music during the game.  Training is available through the Ops Director.

Programs: for HS or Tournaments Set up programs at a table in the lobby.  HS programs are free this year.

Chuck-A-Puck fundraiser (optional):  Chuck a Puck proceeds go to the home team if they run it.  If they don’t want to, the visiting team can do it.  (Winner gets half the pot, home team keeps other half sold).  The buckets with the pucks are in the cabinet, along with the clipboard and forms.  Split the take with the winner of the toss 50/50.  Pucks are $1, the max. Win is $25, and the team can make $25.

Provide Music or a Singer for National Anthem (mandatory for HS games):

These are HS Varsity Games and we try to follow all OSAA guidelines.  So - all coaches need to teach their players to line up on the blue line after warm-ups for the national anthem, with helmets and hats removed.

For Travel team games, the opening game of the day does the anthem.  Other games are optional.

Water for Referees (3 bottles each game):  Home team needs to have bottled water in the score box for the referees during the game.  Sometimes there will be two refs, sometimes 3, so plan on bringing in 3 bottles each game.

Team BANNER display and take down over team box.

Team Managers always seem to work together to make sure things are covered.  If you are interested in trading duties so you can watch your own game, it is your responsibility to contact the team manager of the team you would like to trade with (usually one before or after your game – do this ahead of time).

OTHER:   Let your parents and fans know about crowd behavior too.  Heckling the players on the ice is against the rules.  If you see or hear something inappropriate, contact security, The RRRink staff, or a Board Member.  If all else fails, come to the score box, and have the scorekeeper buzz the ref and inform them to help control the crowd.  If the crowd is too raucous or there is a problem, the game can be stopped until the problem is taken care of.  The On-ice Refs are in charge of the whole game.  In the event you have issues with scorekeeping, the clock, or in the penalty box (too much yelling, cussing, etc.) buzz the refs and ask them to take charge.

PS – All coaches should have their USAH Coaching Cert card on them during the game.  The Refs have been instructed by the USAH Head Refs for Oregon to ask for the card before the start of the game!  They may actually do it!

Locker Rooms:    The Locker room assignments are done by The RRRink staff based on game schedules.   Home Team is traditionally in locker rooms 1 and 2.  Last year we requested they be in 4 and 5 and in the far team box, but that is contrary to normal team box functions at all hockey games.  What we want to avoid is the teams crossing each others paths behind the score box coming and going from the ice.

The Home team does not get to choose their locker room.  The assignments will be posted on the dry erase board in the lobby as they players walk in.   The coaches will need to give their car keys (or the team manager can) to the staff to get the locker room key before the players can enter it.  Check it out and make sure it is clean before they enter, and make sure it is clean when they leave (all garbage in trash, etc., and major spills on floor sopped up).  The players need to help with this.  Last year there were several incidents involving damage to the locker rooms, including graffiti on the walls.  Players must be respectful of the facility.  The USAH Code of Conduct applies before, during and after the practices and games.

TEAM MANAGERS

TEAM MANAGERS

Team Notebooks

The Team book should be with the Team at all USAH practices and games.  If the Team Manager cannot make the practice or game, the Coach should have the book with them.  These suggestions are pretty standard across USAH.

Suggested contents for your team notebook:

USA Hockey forms for all Players and Coaches

IMR for each Player - this is the printout with the barcode.

  • USAH Waiver of Liability for each Coach and Player
  • USAH Consent to Treat Form for each Player and Coach (includes brief medical history form on back or 2nd page - optional.
  • USAH Code of Conduct Form for each player and coach

RVYHA Photo Release for each player

RVYHA Parent/Player Handbook signature page for each player and coach.

Other Association Photo Releases (e.g. KFalls, Tournaments, scrimmages, etc. at other rinks or associations) for each player

Copy of Birth Certificate for each player

Proof of legal residency for each foreign born Player

Travel Permits – Out of State or Out of the Country (found on webpage)

Official Team Roster - Printed from the Registrar

Copy of your Coaches Cards - This makes your job easier.  The card they get

when they take the clinic.  It has the Coach #, and the year of

certification.

Coaches’ IMRs for registration.

Contact information for your team, coaches, managers and key RVYHA Board members including phones, email, etc.

Score sheets – they are in the cabinet (Team Manager should have key).  You may want to keep one or two in your binder just in case.

Printed roster stickers for score sheets - 4 per game.  You can write in your

game roster on the score sheets with ballpoint, but the stickers are easy

too.  Most of the team managers know how to make these, so just

ask around.  They have to fit on the score sheet box for team.

Head Coach has to sign the score sheet either before or after the game - it

varies from place to place.   The Capt. and the Asst Capt should be designated by their name on the roster with a C and an A, as well as on their jersey.

RVYHA also asks teams to designate the shoot out shooters in order 1-3 or 1-5 (that also depends on the place).  Coaches need to do this before the game.  In the case of a shootout, they take them in order to shoot, and then finish the bench order on the roster if they need to.

USAH insurance is only active if you are practicing or playing a USAH

Sanctioned practice or game.  If you arrange with The RRRInk for practices,

be sure to determine ahead of time if they are rink drop in or USAH.  If

they are rink, you can collect the fees and pay the rink directly and you

are under rink rules.  If it is USAH practice, we can help sanction the

practice by scheduling the ice time over 30 days in advance to receive the lower fee rate of $150 per hour.   Without 30 days notice the ice rate is $200 per hr (2008-2009 contract rates only).

USAH teams cannot play ISI teams.  All players and coaches in any USAH event must be USAH, or it is not a sanctioned event and all insurance is cancelled, and it does not count.  If you wonder or doubt if a team is USAH, you may request verification of their credentials and roster before the event, and if they refuse, you should not play the games.  To verify, you inspect their team book to verify that.

If you arrange games at home ice, be sure you tell them to bring their team book, because the Board can request verification independently.

Keep a back up copy of everything in a second binder just in case.  Books do get lost. Assured all the parents that the birth certificate copies will either be passed on to the next team manager for the next team their player is on, or destroyed.
